During your initial consultation, we will discuss factors that go into creating your custom quote, such as logistics and travel, number of musicians, required sound equipment, size of venue, number of guests, etc.

Orchestration

Bayou City Jazz Band can be configured to suit your venue's size and requirements.  The following configurations are available: 

• Trio - Classic jazz guitar trio consisting of electric guitar, bass and drums.
• Quartet -  Classic jazz guitar trio with the addition of piano OR saxophone.
• Quintet - Classic jazz guitar trio with the addition of piano AND saxophone. 

Performance

All equipment will be fully set up, sound-checked, and ready to go, with musicians prepared to perform at least 30 minutes before the scheduled start time. We understand that events do not always run exactly according to schedule, so we are happy to adjust our performance times as needed. Whether that means beginning 20 minutes early, starting a little later, or modifying the set schedule during the event, our priority is to help everything flow smoothly and seamlessly.

These schedules are flexible and can be adjusted to accommodate the specific needs and timing of your event. We are happy to coordinate performance sets and breaks around dinner service, speeches, presentations, ceremonies, special announcements, or other important moments.

During all scheduled breaks, professionally curated recorded music will be played through our high-quality sound system, maintaining the atmosphere and musical style of the live performance so there is never an interruption in the musical experience.

 If your event runs beyond the scheduled end time and you would like the band to continue performing, we are happy to accommodate whenever possible. Additional performance time will be billed at the overtime rate specified in your quote and performance agreement. 

Event Requirements

To help ensure a comfortable and successful performance, we ask that drinking water and/or soft drinks be made available for the musicians throughout the engagement. Our basic performance requirements are simple: access to suitable electrical outlets, adequate performance space for the ensemble you have booked, and a safe, appropriate area for our musicians and equipment.

For outdoor performances, adequate overhead protection from sun, rain, and other elements is required. Outdoor performances are subject to an additional fee, even when the performance area is covered, due to the additional setup considerations and the potential exposure of professional instruments and sound equipment to heat, humidity, sunlight, and other environmental conditions.

Deposits, Payments and Cancellations

A 50% deposit is required to reserve your event date and confirm your booking. The remaining balance is due seven days prior to the scheduled event.

If you need to cancel your event, your deposit is refundable when written notice of cancellation is received at least 30 days prior to the event date. Cancellations received fewer than 30 days before the event are non-refundable. We understand that plans sometimes change, and we will always make every reasonable effort to work with you when circumstances allow.

Restaurants, Clubs and Recurring Engagements

Restaurant, club, lounge, hotel, and other venue engagements are handled under our standard artist performance agreement. Payment arrangements, performance schedules, and other terms may be customized or negotiated based on the nature and frequency of the engagement.
